I have small items whose inventories I don't care to track.  How do I sell these items?

There are many ways to accomplish this, here is an example.

Enter a new product into the product1 database table.  Make the product code simple such as an 'm' or 'g'.  For the description, enter Miscellaneous Item, General Merchandize, or just leave it blank.  Use Zero for the standard price.  To sell the item simple enter 'm' then enter the correct price when prompted.

If you have a lot of items you sell for a specific price, you might use 'm99', for items that sell at 99 cents.  Place .99 in the standard price for the item.  You can make up as many of these as you wish.

For those using the Touch Screen Version, you may use one of the programmable "B" keys.

How can I take a deposit?

There is no feature for handling deposits in this system, however, deposits can still be used.  You, however, are responsible for keeping track of who has paid a deposit, and how much that deposit is.  You may use one of the open customer fields or the customer notes feature for this purpose.  To remind you that the customer has a deposit you can use the customer message feature (i.e. %Customer Has $10 Deposit).  Then that message will automatically display when you identify the customer.

To set the system up to take deposits, first enter a new product into the product1 database table.  Make the product code simple such as an 'd' for deposit.  For the description, enter "Deposit", so Deposit will show on the customer's receipt.  Use Zero for the standard price, or if you have a standard deposit charge, enter that amount. 

You charge the deposit just like you would sell any other item.  Enter 'd' as the product code then enter the amount of the deposit as the price.  Finish the transaction as you would any other sale (you may also sale additional items on the same transaction).

When you finally sell the item for which a deposit was made, enter the item into the transaction at the full price.  Then enter 'd' for Deposit.  Enter the amount of the original deposit and change the quantity to -1 (=-1).  Now your receipt will show the deposit being backed out of the total sale price

I made a system change in the Office and it had no affect in the Cash Register.

Making configuration changes in the Office that change the way the Cash Register works requires that the Cash Register be restarted before those changes can take affect (receipt changes, tax rates, passwords, equipment changes, etc.).  This is not true of database items such as adding a new product, changing the price or description of an item--those type changes are immediate.

When I enter the Office I get a crystl.ocx initialization error.

This is caused by an old Crystal Reports file that needs to be replaced with the a later version.  The file has a problem with it and does not allow our installation program to replace the old file with the newer one.  To overcome this problem, select Windows Start, Find or Search, and search for the file named crpe32.dll located in the \Windows\System directory.  Right click the file and RENAME it crpe32.old.  Now reinstall the Regit program so the newer version can be loaded and correctly registered

My price and cost fields import as zero.

Your price and/our cost fields have dollar signs in them.  Remove the dollar signs and re-import  If using MS Excel switch the currency cell format to a number cell format to remove the dollar signs

My data does not import into the correct fields.

Your records don't have a consistent number of fields in each record. This is often cased by stray comas or quote marks (often used as an inch sign) in the importing data.  Use the Data Integrator's Utility, Test ASCII File, to find the offending record.  Search on Help for Importing, Troubleshooting.

I have my existing database in MS Excel, how do I get it into an ASCII file.

In MS Excel select File, Save As..., then select File Type CSV (comma delimited).

How do I clear out all the sample data.

Use the original installation CD.  You will come to a screen that refers to type of installation.  Select "Install New Data Files Only".

I want to keep the products I have entered, but I want to zero out everything for a fresh start.

1.  Close the Cash Register(s), then Exit the Cash Register Program.

2. Open the Office, select  Utilities (top line menu), Close Year.

3.  Select Utilities, Zero Life Sales Totals.

4.  Select Utilities, Clear Past Receipts.

5.  Select Utilities, Clear Transaction Log.

6.  Select Utilities, Zero Pay Commission Totals.

7.   Select Utilities, Zero Consignment Totals.

8.  Select Setup, System Setup, More button, then reset Last Transaction Number to zero (it will then start with 0000001), or whatever you want the transaction numbers to start with.

I get a Permission Denied (Error 70) when trying to close the month or year.

The cash register (all registers if running a network) must be EXITED prior to closing the month or year.  When this error is encountered, it may be necessary to completely close down the computer and bring it back up before it will allow you to close the month/year.

I Get an Error 484, Problem Getting Printer Information ..........., when starting the Cash Register.

You must have at least one printer driver installed on the system, even if you are not going to use a printer.  If you are not going to use a printer, just install the Generic/Text Only printer driver that comes with Windows.  Start, Setting, Printers, Add Printer, then follow the Add Printer Wizard's instructions.  In the Manufacturers List select Generic.

When running A/R Maintenance I get an Error 3077, Syntax Error.

Apostrophes are not allowed as part of the customer code (i.e. Joe's Pizza).   Select File, Open Database Table, Customer, and remove all apostrophes from the customer codes, even those that do not have A/R transactions associated with them must have the  apostrophes removed.  It is not necessary to remove the apostrophes for the A/R in the A/R Transactions database, the system will do that automatically as you remove them form the Customer DB table.

My bar code scanner scans a different number than is in my database.

Virtually every bar code scanner is programmable.  For UPC's placing a leading zero in front, or sending or not sending the ending character (check digit) varies widely.  If you have an existing  database that is different than how your bar code scanner reads, then you should reprogram the bar code scanner to read just the digits you want.   Generally, this reprogramming is done by reading a series of bar codes in your bar code manual.  If you need help reprogramming the scanner, call the company where the bar code scanner was purchased.  If you purchase from API, then call us if you cannot figure out how to reprogram the scanner.

Sales tax is not adding to my sales.

The most common reasons for tax problems are:

1.  You did not restart the Cash Register after making a tax change in the Office.
2.  You entered your tax rate as .075 instead of 7.5.
3.  You entered a minimum taxed amount.  Tax will not be charged until this minimum amount is reached, for most states this should be zero.
4.  You don't have the appropriate Tax Codes for your products.  Generally, taxed items will be Tax Code 1.  Check your Product1 database table to make sure the items have the appropriate Tax Codes entered.
5.   Your Type Codes may bet set to nontaxable type items (i.e. payment=3, gift certificates=5).

I use the 800 X 600 resolution and part of the Cash Register's screen extends off the monitor.

Your display settings have been set to large fonts.  To change them back to Window's Default "Small Fonts", right click your desktop and select Properties on the menu.  Select the Settings tab on the Display Properties Window.  Click the Advanced Button.  Change the Large Fonts back to the Small Fonts.  Click Apply.  OK.  OK.

How do I get to the Bar Code Printing Program?

Select Windows Start, Programs, Regit 2000, CNZebra Bar Code Labels.  If you will be using this program frequently, right click, select Create ShortCut on the menu, then drag the newly created shortcut out onto the desktop.

My A/R Statements are cutting off the last of the date field.

In the Windows Control Panel, select Regional Settings, then the Date tab.  Change your Short Date format back to MM/dd/yy

I get an Unrecognized Database Format <filename>  Or <fieldname> is not an index in this table.

Be sure to shut you computer down normally.  Your products.mdb database or <filename> is corrupt.  This often happens when a power outage/surge shuts down the computers during the writing of a file.  The error message will give you the name of the database.  You will need to copy this database from the backup location to the \RegitPOS\POSData folder.  The backup will be located in the \RegitPOS\POSBakup\Current\DayX folder (where X=the day of the month you last closed the register).  Find the database file given in the error message and check the DATE MODIFIED to make sure it is recent (if not go back to DayX-1 and check the date of that file).  Copy the database file to the \RegitPOS\POSData folder.

The last two characters on my receipt prints on the next line down.

In the Office, select Setup, Receipt/Invoice Setup, POS (Tape) Printer tab, then the More Setting button.  Find the option "Set Printwidth to 42 columns (Default is 40)" and uncheck it.  Close and Save.  Be sure to restart the Cash Register as the new settings are registered as the Cash Register is started.   Also note that printing a past or last receipt which was originally printed with the 42 column format will continue to print 42 columns.

My printer is printing strange characters.

Usually this is caused by printing to the wrong printer driver.  In the Cash Register select File, Select Printer, then make sure the selected printer driver is correct.

This can also be caused by a dirty switch box.  To test the box, disconnect the printer cable from the box and plug it directly into the computer's printer port.

On rare occasions this can be caused by a broken wire in the printer cable.  Swap the cable out with another and test the printing.

What are the computer requirements for your system?

1.  Any Pentium or better machine running Windows 95, 98, Me, 2000 or xp.
2.  To run a receipt printer, the computer should have a standard printer port (parallel port).
3.   If you intend to use a standard keyboard wedge type of  bar code reader, the computer should have a standard (PS2) keyboard port.

What receipt printer(s) should I use with your system?

With Windows 95, 98, Me you can use almost any receipt printer by using the Windows Generic Text only printer driver to drive it.  However with Windows NT, 2000, or  XP you will need to use the printer driver that is designed for the specific printer.

 Remember, Microsoft is moving  away from the 95, 98, Me series. Windows XP, both the Home and Professional versions, are the NT & 2000 series operation systems.  Eventually you will end up with an operating system in this NT series.  It is better to purchase a printer that will work with the NT series and our programs even if you don't see yourself going there at this time.

The following printers are the most widely sold receipt printers available. They are provided at excellent prices by almost any POS hardware dealer.  We have accomplished extensive testing and reprogramming for these specific printers to ensure their compatibility with our systems.  We also provide the Windows 2000/xp printer drivers and extensive documentation for using these printers with our system.

All our compatibility testing takes place on the standard printer port (parallel) and not on the serial versions.  We suggest you stay away from the serial interface printers.  They require cables specific to each printer, they require finding and setting your serial ports correctly, they often have buffer problems, they simply are not worth the trouble when standard printer port models are available at the same price.

What type of  bar code interface should I use with your system?

The keyboard wedge interface is the easiest to use.  You simply insert this type of bar code scanner between your keyboard and computer with a Y-Cable that comes with the scanner.  When the scanner scans a bar code, it decodes the numbers and sends them to the computer via the keyboard interface.  The nice thing about these keyboard wedge scanners is they work with any program that is expecting keyboard input.  You may scan into Excel, Word, Notepad, or any program that you would normally type into.  They also don't take up an existing port on your computer.  If you already own a serial scanner, see the next question.

How can I get a serial bar code scanner to work?

If you have not yet purchased a bar code scanner, by all means get a keyboard wedge interface.  If you already have a serial interface scanner, you can still get it to behave as a keyboard wedge type.  

1.  Select Start, Settings, Control Panel.
2.  Select Accessibility Options.
3.  Select the General tab.
4.  Check the Support Serial Key Devices box.
5.  Select the Settings button to enter the device's Serial Port and baud rate.

How can I print out a list of every Item I sold today (or this month).

In the Office's Product1 database table (File, Open Database Table, Product1 or click the yellow folder with the P1 on it).

Printer Drivers and Instructions

 

One item's  inventory quantity is not being reduced.

Check that the Type Code Field is zero (0) for a product (services do not reduce inventory quantities).  Also check the Kit/Carryalong Field.  Make sure there is not a "K" in that field.  A "K" means it is the master kit.  Inventory is kept for the items in the kit, and not for the master item.

 

How Can I segregate inactive items in my database?

If you want to keep inactive items in your database, but have them out of your way during lookups or general database grid operations--then use the small letter  "z".  Place the letter "z"  in front of the field(s) you commonly lookup by.  For example, if you use the Cash Register's lookup function to commonly search by both product code and description, place a tilde mark in front of both the product code (z012345678911) and the description (z6-Foot Printer Cable).  Because small letter "z" sorts after all numbers and letters, these items will be forced to the end of the database (a dash would put these items at the top of the database).  Then if the item becomes active again, just remove the "z".

I get an error 3447, the Jet VBA file (VBAJET.dll for 16-bit versions, or VBAJET32.dll for 32-bit Versions) failed to initialize when called.

Download expsrv.dll   (371K) to your C:\windows\system folder.

After installing the XP Pro version of Regit Point of Sale I get an error that the COMDLG32.OCX is missing or not registered when entering the Office and the System freezes while trying to enter the Regit Cash Register.

Install the setup.exe located in the Regit CD Root directory (top level) and that should eliminate the problem.

Can I scan a bar code as an alternative to pressing the Function Keys?

The Cash Register Screen's Function Keys can be entered by reading
bar codes. This will generally be used instead of pushing the F8 key
to go from the Cash Register Screen to the Tender Screen. However,
bar codes are available for function keys F2 thru F9 only on the Cash Register Screen--not on sub windows. You may print the bar codes using Code Name: Zebra.

How do I program a Cherry Keyboard to Work With Regit POS?

Cherry Keyboard Programming Instructions for use with MultiCharge and/or Regit Point of Sale

Important Note: When programming any of the following sequences, do not use the Numeric Keypad unless specified. Any numbers that you program must be from the alphanumeric (Qwerty) side of the keyboard. After every line of code listed below, you should get a message. If not, immediately press the Enter Key on the Numeric Keypad and start that programming string again.

Step 1:
Open Windows Notepad (Start, Programs, Accessories, Notepad)

Step 2:
Enter program mode by holding down the following six key combination until you hear two beeps and ***Menu Entry*** is displayed in Notepad.

Ctrl (left), Shift (left), Alt (left), Ctrl (right), Shift (right), Alt (right) (will take approximately 3 seconds before beep sounds)

Step 3
Program Magnetic Stripe Reader

Press: J then 1 then Y (turns on track 1)
Press: J then 2 then Y (turns on track 2)
Press: V then 5 then Shift+5, then ENTER (on NumPad) (sets % as track 1 header)

What is the difference between Regit Point-of-Sale and Regit 2000 Point-of-Sale?

Nothing.  We are in the process of dropping the "2000" from the name.  You will still see the "2000" in many places as we slowly eliminate it from the documentation.

How do you pronounce REGIT?

As with many computer names from the early 80's, the name REGIT was derived from DIGITAL REGISTER and we pronounce it as the root syllables are pronounced. However, you may pronounce it anyway you like.

Can my computer say the items as they are entered into a transaction?

Yes, with Regit Point-of- Sale Version 4.01 and above you can instruct Regit to send the Description One field to the clipboard as items are entered into the transaction.  Text-to-Speech programs can translate this to words on your computers speakers.  Read Please Plus is one of these Text-to-Speech programs.  You can try it for 30 days, then it will cost you $49.  It is available from ReadPlease Corp. and can be downloaded at www.readplease.com

In Regit Cash Register, Preferences, select "Copy Item Descriptions to Clipboard".  In ReadPlease Plus turn ON the Automatic Play Clipboard feature.

How do I share a drive using Windows XP?

To share a drive or folder on a XP network:
(the following is taken from Windows XP Help)

Open Windows Explorer and then locate the drive or folder you want to share.

Right-click the drive or folder, and then click Sharing and Security.

    • If you are sharing a drive, on the Sharing tab, click If you understand the risk but still want to share the root of the drive, click here.
    • If you are sharing a folder, go to the next step.

Do one of the following:

    • If the Share this folder on the network check box is available, select the check box.
    • If the Share this folder on the network check box is unavailable, this computer is not on a network. If you would like to set up a home or small office network, click the Network Setup Wizard link and follow the instructions to turn on file sharing. Once file sharing is enabled, begin this procedure again.

Notes:

  • To open Windows Explorer, click Start, point to All Programs, point to Accessories, and then click Windows Explorer.
  • To allow other users to change the files in your shared folder, select the Allow other users to change my files check box.
  • If you are logged on as a Guest, you cannot create a shared drive/folder.
  • The Sharing option is not available for the Documents and Settings, Program Files, and WINDOWS system folders. In addition, you cannot share folders in other user's profiles.

How Do Reset the System for a New Year?

1. Open the Regit Cash Register.

2.  Select File, Close Register(s) and close the register.

3.  It is a very good idea to backup.  Select File, Backup and follow the normal backup procedures.

3.  Exit (File, Exit) the Cash Register -- all cash registers must be exited on Network systems.

4.  Open the Regit Office.

5.  Select Utilities, Close Month, Archive as December.

6.  Select YES to the "Are You Sure..." prompt.

7.  Select Utilities, Close Year.

8.  Select YES to the "Are You Sure..." prompt and the prompt reminding you to close the month first.

9.  The Save As.. Dialog box will appear.  Enter a name to sale this years sales file (suggestion = sales03).

10.  Finished.

If you get a Permission Denied (Error 70) when trying to close the month or year.

The cash register (all registers if running a network) must be EXITED prior to closing the month or year. If you did not do this you will get the Permission Denied error.  Exit all Regit Cash Registers and try again. When this error is encountered, it may be necessary to completely close down the computer and bring it back up before it will allow you to close the month/year

When I enter a database table grid, the grid flashes, then returns to the Main screen.

On the computer where this is happening, delete the file c:\RegitPOS\posdata\griddefs.api, then restart the Office. On older versions the root path may be \winpos32 or \winpos40.

Windows Vista Network stops responding.

Certain Vista networks cannot open two databases at the same time without the remote database freezing. To check if you are experiencing this problem, open the cash register on the server machine and on the station. Enter a database item on the remote computer (station). Nothing happens, the computer seems to stop responding/freeze. Now exit out of the cash register on the server. The station now pulls up the item. If this is happening to you, you need to install Microsoft's hotfix for this problem.

The problem lies with the network's Server Message Block (SMB 2.0) that shipped with Vista. SMB 2.0 is a network component that replaces a previous one (SMB 1.0). SMB 2.0 offers improved functionality over SMB 1.0 from earlier versions of Windows, however it was not completely debugged at its release. This problem will only exist between two Vista computers. If the server or remote computer is an XP or earlier Windows, the network will automatically use the old SMB 1.0 which does not have this problem. You may also not have this problem if your computer installs automatic Windows updates. It is not necessary to install the "hotfix" if you are not experiencing the problem described above. If you are, you need to go to this Microsoft link to obtain the "hotfix".

How do I transfer Regit POS to a New Computer (Server or Stand Alone).

On the existing system:

1.  Open the Regit POS Cash Register.  On the top line menu select HELP, then REGISTRATION off the drop down menu.  Write down your 16 digit registration number, you will need to enter it into the new installation.

2.  On the same drop down menu check your version/release number on the ABOUT or VERSION selection.  If you are using any version prior to (lower number than) 4.50, you will need to upgrade this system so the MS Access data files will be compatible with the new installation. 

3. Close the Regit POS Cash Register (you cannot copy files when the Cash Register is running as open databases cannot be copied).

4.  Copy all files with the .mdb extension from the c:\RegitPOS\posdata folder to a USB stick or a CD.  There should be around 15 of them.  If you cannot see your extensions you can turn them back on under TOOLS (View on older Windows), FOLDER OPTIONS, VIEW Tab.  Uncheck the box HIDE FILE EXTENSIONS FOR KNOWN FILE TYPES.

 

On the New Machine:

1.  Download/Install the latest version of Regit POS from our web site.  Install with all the default options.  This will install all new empty database files.

2.  Open the Regit POS Cash Register.  On the top line menu select HELP, then REGISTRATION off the drop down menu.  Enter your 16 digit registration number.

3. Close the Regit POS Cash Register (you cannot copy/paste files when the Cash Register is running as open databases cannot be overwritten).

4.  Paste the copied .mdb files to the same location they were copied from c:/RegitPOS/posdata), letting them overwrite the existing (empty) files that are there.

5.  Open the Regit POS Office, enter the product database table grid and you should see your inventory items.  Set you system options, tax rates, and equipment to match you old system.

6.  Connect receipt printer and install printer driver.

I Get an "invalid property value in grid loading" when entering the database grid.

There is an error in the Grid's loading preferences (grid colors, fonts, etc.). Delete the file named GRIDDEFS.API at c:\RegitPOS\Posdata\griddefs.api. on the computer with the problem. The program will create a new one with the default values when Regit Office is restarted.

How do I restore a database for the Regit Auto Backup Utility?


When replacing a corrupted database, the error message will generally tell you which database is corrupted (usually an unrecognized database error message).

The Regit automatic backup procedure copies and stores 31 days of database files as you close the register.

The database files are copied and not compressed or altered in any way, so it is a simple matter of copying the files back to the original location to restore the backup copy.

In this example we will use the products.mdb, you will use whichever database needs to be replaced.

You will need to replace the products.mdb database with a copy dated before the error. Products.mdb backups can be found in folder \RegitPOS\POSBakup\Current\DayX where X = the day of the month you closed the register (there are 31 folders--one for each day of the month, \Day1 through \Day31). Check the date modified on the backup to make sure of the date. Then copy the products.mdb to the \RegitPOS\Posdata folder overwriting the one you are replacing.
