BEFORE YOU CLOSE THE YEAR

Print out any reports you will need for the year end and your taxes.  It is a good idea to print out a Master Sales Report for your records.

1.  In Regit Office select REPORTS, then SALES REPORTS, then SALES REPORTS again.

2.  On the top line menu select REPORTS, then PRINT MASTER SALES REPORT.

GET YOUR INVENTORY VALUE

An accurate value of your inventory at year end is very important for calculating your taxes.  It is used to determine the cost of good sold for both the year ending and the next year.

1.  Perform a year end inventory to compare and correct any inventory discrepancies between the system and actual inventory.  You can print out a current inventory report:

    a.  In the Regit Office, open the Product Database Grid (File, Open Database Table, Products (Product1 on past versions).

    b.  On the top line menu select REPORT QUERIES, then VIEW LOAD SAVED REPORTS.

    c.  Select CURRENT INVENTORY RPT, then OK.

    d.  Print the report from the FILE menu.

2.  Get the value of your inventory--you will need this for your taxes cost of goods sold section.  This will be the ending inventory for 2005 and the beginning inventory for 2006.  You can use the systems "Inventory Value Report" in the Office's Report section if your costs are accurate:

    a.  In the Regit Office select REPORTS, then INVENTORY VALUE REPORT.

STEPS TO CLOSE YEAR

1. Open the Regit Cash Register.

2.  Select File, Close Register(s) and close the register.

3.  It is a very good idea to backup.  Select File, Backup and follow the normal backup procedures.

3.  Exit (File, Exit) the Cash Register -- all cash registers must be exited on Network systems.

4.  Open the Regit Office.

5.  Select Utilities, Close Month, Archive as December.

6.  Select YES to the "Are You Sure..." prompt.

7.  Select Utilities, Close Year.

8.  Select YES to the "Are You Sure..." prompt and the prompt reminding you to close the month first.

9.  The Save As.. Dialog box will appear.  Enter a name to sale this years sales file (suggestion = sales03).

10.  Finished.

If you get a Permission Denied (Error 70) when trying to close the month or year.

The cash register (all registers if running a network) must be EXITED prior to closing the month or year. If you did not do this you will get the Permission Denied error.  Exit all Regit Cash Registers and try again. When this error is encountered, it may be necessary to completely close down the computer and bring it back up before it will allow you to close the month/year.
